We are looking for a French speaking EA/OM with a minimum of 5 years experience within financial services ideally. A truly exciting role for a candidate looking to join a successful company and be part of a dynamic international team. Responsibilities will be varied and will involve a broad range of administrative and office management duties.
EA responsibilities:
- High-level support to 1 Senior Partner and extended team
- Diary management
- Scheduling meetings internationally
- International travel arrangement
- Processing of expenses
- Events organising
- Presentation of documents using MS Office suite
Office Management:
- Ensuring that execs have all equipment needed; proofing and ordering business cards; creating and maintaining a pleasant work environment
- Logging incidents such as spillages and breakages for the cleaners’ attention
- Liaising with IT support to resolve issues
- Checking meeting rooms are presentable, fully stocked and functioning correctly
- Reporting any issues and following up on completion
- Undertaking fire safety training and First Aid at Work training; awareness of risks and hazards
- Stocking printers and monitoring levels of stationery supplies
- Archiving, shredding, updating intranet
- Liaising with external suppliers – travel consultants, couriers, taxi firms
- Communicating with building management – car parking, deliveries, air conditioning units
- Directing contractors and logging works completed
- Visitor management
