Hours: 09:00-18:00 (some Flexibility Required)


The Company: Our client is a frontrunner in their sector, renowned for its cutting-edge solutions and extensive global operations. As the company continues to broaden its horizons and enhance its offerings, there is a need for a highly proficient Team Executive/Business Assistant to support their Senior Leadership Team. This role is crucial in boosting the overall Senior Team’s productivity and contributing significantly to the company’s success.

Main Responsibilities:

  • Efficiently manage and prioritise a substantial volume of emails, meeting requests, and calendar events (including different time zones).
  • Organise detailed national and international travel arrangements (including itineraries, accommodations, and visas).
  • Coordinate materials and logistics for meetings and events, ensuring the team is thoroughly prepared.
  • Serve as a link between the Senior Leadership team and both internal/external stakeholders, fostering strong relationships and aligning with the strategic objectives of the company.
  • Offer ad-hoc support on various projects, from supporting with research, office management support, expense management, and other admin tasks.

Candidate Profile:

  • Fluent Portuguese + English – essential
  • Outstanding organisational and time-management capabilities.
  • Excellent communication skills, verbal and written.
  • A minimum of 5 years’ experience in an executive support role, ideally within professional services or a closely related regulated field (Financial Services / Investment Management/ Private Equity), showcasing an understanding of the sector’s distinct challenges and prospects.
  • Proven competence in handling confidential information with the highest level of discretion.
  • Demonstrable problem-solving skills, with an active approach towards overcoming challenges.
  • Strong team player mindset.
