Even if you don\u2019t know the basics, a quick Google search will reveal them.<\/span><\/div>\n<div class=\"article-body standard-content\">\n<p>But some of the most valuable meeting tips may also be the least well-known because they\u2019re not about the meeting structure, participants, or even the agenda; they\u2019re about how the meeting leader prepares for the meeting and communicates throughout it.<\/p>\n<p>As with almost any work project, a meeting\u2019s success relies on the success of leadership communication.<\/p>\n<p>Below are 10 communication tactics that can help both meeting leaders and executives attending meetings make sure those meetings accomplish their missions.<\/p>\n<h2>1. Prepare Your Points \u2014 Not Just an Agenda \u2014 in Advance<\/h2>\n<p>An agenda is a helpful meeting roadmap but not an effective tool for conveying your key points. So, in addition to creating an agenda, conceive and prepare a few brief but valuable points in advance.<\/p>\n<p>Some questions to ask yourself that can help you develop these points:<\/p>\n<ul>\n<li>\u201cWhat ideas do I want to raise at this meeting?\u201d<\/li>\n<li>\u201cWhat challenges do I or we need help with?\u201d<\/li>\n<li>\u201cWho deserves praise or mention?\u201d<\/li>\n<li>\u201cWhat questions do I most want this group to discuss and consider?\u201d<\/li>\n<\/ul>\n<p>Bring these answers to the meeting and share them at the start or when related agenda topics come up. Remember: a topic is a piece of paper. A point is a paper airplane. You can have both on the table, but only one delivers your idea.<\/p>\n<h2>2. Provide<strong>\u00a0the Purpose<\/strong><\/h2>\n<p>At the start of the meeting, share the meeting\u2019s purpose \u2014 what needs to be decided, reviewed, or accomplished as a result of the meeting. Avoid vague purposes like \u201cexploring\u201d or \u201caddressing\u201d an issue. That only promises talk, not action or advancement. (Even in Zoom, talk can still be cheap.) Stating a clear purpose at the start of the meeting will help to ensure that it gets met \u2014 or at least checked \u2014 by the end.<\/p>\n<h2>3. Guide<strong>\u00a0Your Listeners<\/strong><\/h2>\n<p>Leaders often \u2014 and should \u2014 kick off meetings with greetings, sentiments, and important updates. If your opening comments cover several topics, provide a preview: \u201cBefore we start, I\u2019d like to quickly cover last week\u2019s forecast announcement, our DEI internal survey results, and some new team members who will be joining us soon.\u201d<\/p>\n<p>Also, use\u00a0internal transitions\u00a0(\u201cThe second thing I want to suggest is Y\u201d) and\u00a0conclusion statements\u00a0(\u201cAs you can see, X, Y, and Z are critical to our success\u201d).<\/p>\n<p>This preview\/transition\/review scaffolding helps your team 1) know what to expect, 2) follow you, and 3) understand their key takeaways.<\/p>\n<h2><strong>4.<\/strong>\u00a0<strong>Be<\/strong>\u00a0Ready<strong>\u00a0to Listen<\/strong><\/h2>\n<p>For a meeting leader, listening and appearing to listen are essential values because while dialogue is vital, you also want to be seen as caring and appreciative of your colleagues\u2019 contributions. Here are some quick tips to both actively listen and demonstrate that you\u2019re actively listening:<\/p>\n<ul>\n<li>Always face your audience and try to maintain direct eye contact when listening. In a virtual meeting, that means looking into the camera, not at the people grid.<\/li>\n<li>Demonstrate that you\u2019re listening by nodding. Nodding is the most effective way to show support because it indicates, \u201cI hear your point and am buying what you\u2019re selling.\u201d<\/li>\n<li>Don\u2019t use listening time as an opportunity to plan what you\u2019re going to say next. Misunderstanding a question because you didn\u2019t adequately hear it can damage your credibility and trust.<\/li>\n<li>Avoid interrupting speakers or finishing their sentences. Sometimes we think we\u2019re affirming someone else\u2019s point by finishing their sentences for them, but even if that\u2019s technically true, we\u2019re still stealing their time and appropriating their point, which is rude.<\/li>\n<li>Consider reflecting questions back to the speaker before immediately offering your perspective or jumping in with a solution. For example: \u201cI want to make sure I hear you correctly. You\u2019re saying we have too many meetings, especially on Fridays. Is that correct?\u201d This powerful conveyance of acknowledgment builds trust and demonstrates empathy.<\/li>\n<li>Finally, keep an open mind and resist the urge to defend. A meeting is about dialogue, not debate, so focus first on understanding your team\u2019s perspective, not making counterarguments.<\/li>\n<\/ul>\n<h2>5. Prepare<strong>\u00a0Questions<\/strong><\/h2>\n<p>In dialogues between executives and their teams, leaders can boost learning by asking probing questions. In the\u00a0<em>Harvard Business Review<\/em>\u00a0article \u201c<a href=\"https:\/\/hbr.org\/2017\/01\/being-a-strategic-leader-is-about-asking-the-right-questions\">Being a Strategic Leader Is About Asking the Right Questions<\/a>,\u201d Lisa Lai contends that asking strategic questions like \u201cWhy are you doing the work you\u2019re doing?\u201d and \u201cWhat does success look like for our team?\u201d can help leaders encourage their teams to think more strategically.<\/p>\n<p>Having questions in your pocket can also fill in meeting gaps when attendees are slow to ask questions or need someone else to break the ice.<\/p>\n<p>Leadership questions can fall into several types:<\/p>\n<h3>Strategic questions<\/h3>\n<ul>\n<li>\u201cWhat do you hope to achieve?\u201d<\/li>\n<li>\u201cHow can we apply that approach throughout the company?\u201d<\/li>\n<\/ul>\n<h3>Recognition questions<\/h3>\n<ul>\n<li>\u201cWho helped you with this project?\u201d<\/li>\n<li>\u201cHow did you come up with the idea?\u201d<\/li>\n<\/ul>\n<h3>Helpful questions<\/h3>\n<ul>\n<li>\u201cWhat can I do to help?\u201d<\/li>\n<li>\u201cWhat resources do you need to take your project to the next level?\u201d<\/li>\n<\/ul>\n<h2>6. Keep<strong>\u00a0Detours Brief\u00a0<\/strong><\/h2>\n<p>At times, you may be tempted to leave your train of thought to discuss something unrelated, whether the idea suddenly pops into your head or is raised by someone else in the room. One second you\u2019re talking about leveraging social media, and the next second you\u2019re talking about your favorite Instagram celebrities. This off-ramp is perilous because, when it drags on for a while, it wastes critical time and other minds begin to wander.<\/p>\n<p>If you introduce or entertain an idea that\u2019s only tangentially related or unrelated, \u201cget in and out\u201d quickly so you can return to the points you came to make.<\/p>\n<h2><strong>7. Know<\/strong>\u00a0When<strong>\u00a0You\u2019ve Finished Your Point<\/strong><\/h2>\n<p>Some speakers have a pesky voice in their heads that says,\u00a0\u201cThey don\u2019t understand it yet \u2014 keep talking!\u201d\u00a0This inner voice \u2014 springing from your insecurity \u2014 is often wrong, so don\u2019t trust it. Once you\u2019ve made your point, stop and move the meeting forward. If people have questions, they will ask. This approach also ensures others in the meeting will have time to speak.<\/p>\n<h2><strong>8. Give<\/strong>\u00a0Concise<strong>\u00a0Credit<\/strong><\/h2>\n<p>It\u2019s always a good idea for leaders to share points of praise, support, and encouragement with their teams, but the impact of those sentiments decreases the longer you go on. And on. And on. Then it gets awkward.<\/p>\n<p>Nothing kills a good point more than rambling, so keep your thanks structured and limited to 15 seconds or less. At the same time, realize that the two words \u201cthank you\u201d never have much of an impact. Always supply the \u201cwhy.\u201d A good template for giving credit or appreciation is: who did it, what they did, and what impact it had on organizational or team objectives.<\/p>\n<h2>9. Help<strong>\u00a0Others Stay on Point<\/strong><\/h2>\n<p>If, during your meeting, a staff member delivers a formal presentation without a clear point or proposal, gently prompt one by asking politely, \u201cWhat do you recommend?\u201d or \u201cWhat do you propose we do?\u201d The more you ask those guiding questions, the more likely that person will eventually realize the crucial leadership communication skill of conveying points \u2014 not just sharing thoughts.<\/p>\n<h2>10. End<strong>\u00a0With a Meaningful Action Step<\/strong><\/h2>\n<p>You sustain post-meeting momentum when you end the meeting with clear next steps, including who\u2019s taking the actions and when.
